Purchase orders and conditions of order

At the end of the procurement process, Council will issue a purchase order to the successful supplier(s). Purchase orders request that a supplier provides goods, service or works stated in the purchase order. After providing the goods, services or works, the supplier sends an invoice to Council. Council checks that the goods, services or works have been delivered, checks the purchase order against the invoice and then pays the invoice.

For low value off the shelf type items, Council may choose not to use a formal contract. The terms and conditions on the back of the purchase order (you can download the Conditions of Order document below) are the contract terms and conditions for that procurement.

Where a formal contract has been signed by the supplier and Council, a purchase order will often still be issued by Council after the contract has been signed. The terms and conditions of the signed contract take precedence over the Conditions of Order.

Council has a range of contract standards that it uses for goods, services and works. These standards have been organised under subheadings below. You can view or download Council's standard conditions of contract.

Note: The conditions of contract which apply to a procurement process may be different to Council's standard conditions. Always refer to the request document you have received or downloaded which will specify the contract conditions that apply.
