Lord Mayor’s Photographic Awards 2019 Terms and Conditions

  1. General:
    1. These terms and conditions set out all the information regarding the Brisbane City Council – Lord Mayor’s Photographic Awards 2019 (the Awards)
    2. The Awards are presented and promoted by Brisbane City Council ABN 72 002 765 795 acting through its Connected Communities branch, Lifestyle and Community Services division whose principal offices are at Brisbane Square, 266 George Street, Brisbane (Council).
    3. Entry to the Awards is deemed acceptance of these terms and conditions.
    4. Information on how to enter the Awards forms part of these terms and conditions.
    5. This promotion is powered by Woobox which is based in the United States of America. Woobox does not sponsor, administer or endorse the Awards. Information provided by entrants and voters for the Awards will be stored within Woobox’s server in the United States of America. By entering the Awards, entrants and voters acknowledge and agree to Woobox’s terms and conditions, you can view Woobox’s terms and conditions online at https://woobox.com/terms.
    6. Council reserves the right to refuse any entry deemed unsuitable for public exhibition or be associated with any social media accounts that are deemed unsuitable. This includes material that contains swearing, nudity, racist, sexist or political comment, political satire, political criticism, smoking, alcohol, unsafe behaviour, destruction and/or vandalism of public property or may otherwise be potentially embarrassing to Council.

  2. Categories:
    1. There are four categories for the Awards. Images may be placed into multiple categories, if the entry meets the eligibility requirements for that category. The available categories are:
      • the Open category;
      • the Student category;
      • the Social Media category; and
      • the People’s Choice category.
  3. Prizes:
    1. There are six (6) prizes available as part of the Awards:
      • Open category winner will receive $5,000 prize money;
      • Open category first runner-up will receive $2,000 prize money;
      • Open category second runner-up will receive $1,000 prize money;
      • Student category winner will receive $3,000 prize money;
      • Social Media category winner will receive $1,000 prize money; and
      • People's Choice Award winner will receive $2,000 prize money.
  4. How to enter:

  5. Award entry period:
    1. Entries for the Awards will be open at 10:00am AEST on Wednesday 10 July 2019, and close at 4:00pm AEST on Wednesday 7 August 2019 (the entry period).
    2. No entries will be accepted outside of the entry period.
  6. Eligibility:
    1. To be eligible to enter this competition, entrants must:
      • live, work or study in the Brisbane Local Government Area (Brisbane LGA) and be able to provide proof of this if requested;
      • not be a Council employee, including its contractors;
      • not be an immediate family member of:
        1.    an employee of Brisbane City Council’s Connected Communities Branch;
        2.    the Lord Mayor; or
        3.    a member of the judging panel; and
      • complete all details on the official online entry form available at https://woobox.com/afw56n
    2. For an image to be eligible for judging, it must be:
    3.  Additional eligibility requirements for the Student category: To be eligible for the Student category, entrants must be currently studying at a registered educational institution within the Brisbane LGA. If requested, entrants must provide proof of their current student status.
    4.  Additional eligibility requirement for the Social Media category: Entries must be submitted via Instagram using the hashtag #LMPA2019, in conjunction with the submission of the official online entry form. The entrants Instagram account must be set to public.
  7.  Judging and winner notification:
    1.  A panel of four (4) judges (the Panel), appointed by Council, will review all entries and provide a recommended shortlist for the winners of the Open, Student and Social Media categories for the Lord Mayor’s consideration.
    2.  The Lord Mayor will review the recommendations provided by the Panel, and will make the final decision to award the winners in each of the Open, Student and Social Media categories.
    3.  The Panel will provide a shortlist of finalist for the People’s Choice category to the Lord Mayor for consideration. The Lord Mayor will review the recommendations and will make the final decision of the finalists to be available for public voting in the People’s Choice category.
    4.  The finalists for the People’s Choice category will be posted on Council’s website and its social media pages, for public voting from Wednesday 28 August 2019 to Wednesday 25 September 2019 (the voting period). The image with the most votes received at the end of the voting period will win the People’s Choice Award category. In the event of a tie in votes, the Lord Mayor will make the final decision.
    5.  The Lord Mayor or his representative will announce each of the winners of the Open, Student and Social Media categories by 5:00pm AEST on Wednesday 28 August 2019.
    6.  Winning entries for the Open, Student and Social Media categories, and finalist entries for the People’s Choice category will be notified by phone, letter or email by 4:00pm AEST Tuesday 27 August 2019. 
    7.  Winners for the People’s Choice will be announced on 4 October 2019 at the Lord Mayor’s Photographic Award Ceremony.
  8. Prize Claim:
    1.  Council will provide each winner with a form to be completed to claim their prize.
    2.  The bank account nominated on the form, must belong to the prize winner, unless the winner is under eighteen (18) years of age, in which case the bank account of the winner’s parents or guardian must be nominated, with the bank account holders consent, to claim the prize on the winner’s behalf.
    3.  Upon return of the form to Council, payment of the prize money will be made to the bank account nominated on the form.
    4.  If the Award winner does not return the form to Council within 90 days of receiving the form, they forfeit their prize.
  9. Copyright and privacy:
    1. Upon submission of an entry, the entrant, as the owner of the image, grants to Council the right to:
      • maintain a copy of the image for archival purposes;
      • publish the image on Council's website and social media platforms (including but not limited to Instagram); and
      • allow the image to be reproduced and/or exhibited by Council and its subsidiaries and related companies for any purpose. This use of the image is perpetual, nonexclusive, transferrable and royalty free.
    2. Council will acknowledge the image owner in all publicity of the image as the creator and owner of the image.
    3. While Council will take care to ensure the quality and integrity of the reproduced image, the entrant acknowledges that enlargements and slight variations to the image may result from adapting the original image for presentation.
    4. The winning images may be featured on the cover of a publication promoting Council’s arts, cultural events, workshops and activities across Brisbane, titled “Live” during 2019-20. No additional financial benefits will be paid to the image owner for this use.
    5. By entering the Awards, each entrant acknowledges that their personal information will be collected and stored by Council for the purpose of conducting the Awards. The personal information you provide in your entry will be protected in accordance with Council’s obligations under the Information Privacy Act 2009 (Qld).
  10.  Force Majeure:
    1.  If for any reason the Awards are not capable of running as planned (including due to infection by computer virus, bugs, tampering, unauthorised intervention, fraud, technical failures or any other causes beyond the control of Council), which corrupts or affect the administration, security, fairness, integrity or proper conduct of this competition, Council reserves the right, in its sole discretion, to take any action that may be available, and to cancel, terminate, modify or suspend the Awards. Council reserves the right in its sole discretion to disqualify all entries from any individual who tampers with, or benefits from tampering with, the entry process which as a result corrupts or affects the administration, security, fairness, integrity or proper conduct of the Awards.​
    2.  In the case of the intervention of any outside agent or event which naturally changes the result or prevents or hinders its determination, including but not limited to vandalism, power failures, tempests, natural disasters, acts of God, civil unrest, strikes; Council may in its absolute discretion cancel the Awards and recommence it from the start on the same terms and conditions.
  11.  Award updates or cancellation:
    1.  Council reserves the right to modify these terms and conditions at any time and to cancel or amend the Awards and/or the voting process at any time without notice or further recourse to the entrants or to voters.
